Prospective clients register their interest in working with Dead Nice Studio Ltd voluntarily, as an initial point of contact. We use the name and email address provided to respond to their query and manage the resulting conversation. The benefit to us is being able to respond properly to enquiries, follow up on discussions, and maintain a record of communications in case of any future query, complaint, or dispute relating to that contact. This helps us provide a professional and accountable service. The benefit to the individual is that their enquiry is handled efficiently and that there is a clear record should any issue, misunderstanding, or complaint arise from the discussion — protecting both parties. We do not share any confidential or commercially sensitive information with a prospective client until a mutual NDA has been signed, meaning individuals\' and our own information is protected at the early enquiry stage before any deeper engagement begins. We only keep personal information for as long as we need it for the purpose it was collected, and in line with our data retention policy.
Recruitment and expressions of interest
If you register your interest in working with us but we don't proceed to a discussion or engagement, we will keep your name and email address for up to 12 months, in case a suitable opportunity arises. If you ask us to delete your details sooner, or if you withdraw your interest, we will delete them without undue delay.
Client and business enquiries
If you contact us as a prospective client and the enquiry doesn't progress to a signed NDA or engagement, we will keep your name and email address for up to 12 months for our records and to allow us to follow up if appropriate. If an engagement does proceed, we will retain relevant records for the duration of that relationship and for a period afterwards as set out below.
Contracted clients, freelancers and suppliers
Where we enter into a contract, NDA, or engagement with an individual or organisation, we retain associated personal data for the duration of that relationship and for up to 6 years afterwards, to meet our contractual, insurance, and legal obligations (including potential claims under UK limitation periods).
Financial records
Where personal data forms part of financial records (e.g. invoices, payments), we retain this for 6 years from the end of the relevant financial year, in line with HMRC requirements.
Queries, complaints or claims
We keep records of queries, complaints, or claims for as long as necessary to resolve the matter, and afterwards for a period to allow us to defend or bring legal claims if needed — typically up to 6 years, reflecting standard UK limitation periods.
When we no longer need personal data for the purpose it was collected, or where no legal obligation requires us to keep it, we securely delete or anonymise it.
